Quickstart: Command Your Ledger
From initializing the Chart of Accounts to running your first AI-powered bank reconciliation in 5 steps.
No. Aeion Finance uses an Immutable Ledger. Once an entry is finalized, it cannot be updated or deleted—only reversed with a new journal entry. This is by design: it guarantees forensic compliance for auditors and prevents fraud. Every reversal preserves the audit trail showing what was corrected and why.
Vision AI analyzes the receipt image and extracts merchant, date, total amount, tax amount, currency, a suggested GL category, and line items. The output is schema-validated before it's accepted. If AI is unavailable, the pipeline surfaces an error rather than accepting unverified data — nothing enters the AP pipeline silently.
Connect each account through the same secure flow. Transactions from all connected accounts appear in Finance > Banking > Transactions, and reconciliation runs across all of them simultaneously.
Aeion analyzes bank transactions against GL ledger entries. Matching signals include exact amount match (high confidence), date proximity (within 3 days), reference number match (check numbers), and AI semantic analysis of vendor names. Low-confidence matches surface for manual review.
Navigate to Finance > Payroll. Aeion calculates gross pay, federal/state/local withholding, Social Security, Medicare, deductions, and garnishments. Approve the payroll run and it generates the direct-deposit file and posts all GL entries atomically. No separate steps needed.
Navigate to Finance > Tax > Forms. Aeion produces W-2, W-3, 941, 940, 1099-NEC, and 1099-MISC forms from payroll and contractor data, generating submission-ready e-file packages in the format the IRS, SSA, and state agencies expect. Direct electronic transmission to the agency rides a filing-partner integration and is rolling out — until then, the generated package is ready for you (or your filing partner) to submit.
Yes. The ledger stores 160+ currencies with temporal exchange rates. Historical rates are captured at the moment each entry posts, ensuring ASC 830 / FASB 52 compliance for foreign currency translation. P&L reports aggregate using the transaction-date exchange rate, not the current rate.
Yes. Two paths: import existing general-ledger data as CSV during Chart of Accounts setup (Step 1), or connect your source system through Aeion Singularity — the data import hub with a QuickBooks connector among 80+ others — to pull accounts, historical transactions, vendors, and customers across. Bring your balances forward rather than starting from zero.
Navigate to Finance > SEC Filing. Map your GL account balances to US-GAAP taxonomy tags using the visual mapper, and Aeion compiles the mappings into EDGAR-compliant XML — no external XBRL software needed. Direct transmission to SEC EDGAR is rolling out via a filing-partner integration; today the package is generated ready for submission.
A full back office in one place — P&L / balance sheet / cash-flow reporting with PDF / Excel / CSV / XBRL export, payroll with itemized YTD paystubs and a self-service employee portal (paystubs + PTO), tax-form generation (W-2 / W-3 / 941 / 1099 / ACA) plus IRS FIRE electronic filing and state-specific forms, fixed-asset depreciation (MACRS / straight-line / declining-balance), a vendor portal for invoice submission, and a complete HR recruiting suite (background checks, AI screening, job-board syndication, video interviews, offer generation, candidate matching). See Aeion Finance for the full capability tour.
